Communication Between Staff

Assessors working on behalf of ACED Qualifications in a subsidary role will be contacted regularly by the Head of Centre, Deborah Hayward, to ensure that standards of teaching and delivery remain high.

Contact will predominantly be in electonic form due to remote working but responses will aim to be within 48 hours.  Facebook and E-mail will be the main methods of contact, with reference to individual students being at a minimum in order to comply with GDPR.

Formal moderation will be completed remoted also.  Whilst certain times of the year will be scheduled for these meetings – in order to allow flexibility for the learner, these moderations may be subject to change in order to fit in with the pace of the learners.

Communication Between Staff & Parents or Learners

An open door policy between parents and staff is actively encouraged.

Parents are welcomed to communicate with the Head of Centre, Deborah Hayward via a number of methods and have access to contact Mon-Fri via email, Facebook Messenger and telephone. The standard response time is within 48 hours.

Learners are able to maintain direct contact with their assigned assessor, initially, this will be Deborah Hayward, but planned future assessors will be trained to carry out assessor responsibilities if and when necessary with potential growth of the tuition provider. 

Marketing

Marketing of the courses will be clear and concise and shared via Facebook and through online facebook homes gear specifically for home educated families.

As well as sharing Facebook posts, closed groups may be used for each of the qualificactions, to promote the course and as a method to share files, such as sample materials, course specifications and any other information.

Information will also be available via the ACED Qualifications website.

Authentication Methods of the Learner’s Work

Aim: Based on the Rules of Evidence outlined by NCFE;

Authenticity – refers to the ownership of the evidence. Did the learner really produce it independently? All evidence submitted by a learner should be generated by the learner and may need to be authenticated. This is particularly true of computer-generated evidence. If the evidence was produced as part of a team effort, can the individual’s contribution be clearly identified?”

Risk: We understand that delivering our courses online could be a potential risk when it comes to ensuring the authentication of the learners’ work and should be an element which is planned for in advance within the delivery of the course.

Roles/Responsibilities: It is the responsibility of the Head of Centre and IQA to ensure the authentication of the work has been planned for in advance within the course’s Scheme of Work. 

It is the responsibility of the assessor to ensure the learner is submitting the evidence requested and then the responsibility of the IQA to ensure the assessor is monitoring the evidence.

  • For the L2 Art & Design and Photography course, evidence required will be in the format of photographic evidence of the learner’s work & e-portfolio submission, Witness statement for the end of each completed Unit, Authentication form completed for each Unit, Video presentations of the learner completing the Mini project and final progress for the Art & Design and Photography courses, photographs of the learner making the work and working in a safe manner.
  • For the L2 Sport course evidence required will be in the format of photographic evidence, Witness statement for the end of each completed Unit and Authentication form completed for each Unit.
  • For Unit 1 of the Sport course, it will be mandatory for the learner to provide video submission of the learner completing the practical element, participating in their planned sporting activity.

Safe Storage of Learner Data

Leaners will access their course via the Learning Management System, Learndash with all personal details being held here, rather than on assessors personal computer devices.  

Personal details are given and held on Learndash are GDPR compliant.  For the purposes of the General Data Protection Regulation (GDPR) and other applicable laws globally, Learndash is responsible for your personal information.

Information requested is kept to a minimum and will only keep data necessary to teach effectively and safely.  Data requested includes: 

Full name, DOB and Address.

Storage of Assessment Materials

Qualifications is entirely portfolio based, internally assessed and externally verified.  Learners complete their work remotely and work is stored electronically on the LMS, Learndash.  Learners are also responsible and are required to save additional copies of their work to their own devices too.

Does LearnDash store my data?

My learning portal or LMS is currently with Learndash.  We have a Learndash Cloud set up and all assignment information and data in regards to the quizzes feature is be stored with Nexcess (Learndash’s sister company) and data will be automatically backed up every 24 hours.
